Terms of supply

Terms of supply

For branded and personalised journal orders. Last updated September 2026.

These terms govern the supply of branded and personalised journals by Kipras Zukas trading as The Journal Foundry Co. to a business customer. They apply to every quote, order and invoice unless we agree otherwise in writing. They do not apply to individual purchases made through Etsy or Amazon, which are governed by those platforms' terms. Placing an order means you accept these terms; your own purchase-order terms do not apply unless we have accepted them in writing.

Quotes and prices

A quote is valid for 30 days. Prices are per copy and assume a single delivery address in the United Kingdom. We are not VAT registered, so no VAT is chargeable on these prices and none is recoverable on them — the price quoted is the price payable. Quantity bands are 25–49, 50–99, 100–249 and custom above 250; if the final quantity falls into a different band, that band's rate applies. Anything not listed in the quote is not included.

What you supply, and what we produce

You supply your company name as it should appear, a logo as SVG or transparent PNG at 1000px or wider, one brand colour if you want the name-plate rule matched, welcome letter text with the signer's name and role (or a brief for us to draft it), up to four expectation points, and the contact details for the "who to talk to" line.

We produce an edition in which four pages carry your branding — cover lock-up, name plate, welcome letter and expectations page. The remaining interior, the quotations, the safety page and our imprint line are identical in every edition and are not customised. That is what holds the unit price. If you ask, we also print each recipient's name on the cover and name plate of their copy, at no extra cost, from a list you send us. The names are part of your proof, so their spelling is covered by your approval, and we use the list only to produce your order. You confirm you own or are licensed to use the logo and any other material you send us, and that you may share the names you send for this purpose.

Proof and approval

We send a proof PDF within two working days of receiving all your assets, and two rounds of changes are included; further rounds are £45 each. Nothing goes to print until a named person at your company has approved the proof in writing.

Approval is final. Once you have approved the proof, errors within it — spelling, names, job titles, logo usage — are your responsibility, and reprinting to correct them is a new order at full price. We recommend a physical proof copy before any order of 100 copies or more, supplied at cost plus postage.

Payment

For a first order we ask for 50% on order confirmation and the balance before dispatch. Your journals are printed to order with your branding on them, so the deposit covers the print run we commit to on your behalf. Nothing goes to print until the deposit has cleared.

After a first order paid in full and on time, we invoice in full on dispatch, payable within 30 days. A deposit is required at any stage of the relationship where the order is over £2,000, or where the quantity is more than double the largest quantity you have ordered before. Payment is by bank transfer; we do not take card payments. Late payment accrues interest at 8% above the Bank of England base rate together with the fixed recovery sum, under the Late Payment of Commercial Debts (Interest) Act 1998, and we may hold delivery of any order while an earlier invoice is overdue.

Changing or cancelling an order

Your edition is personalised and made to your order, so it cannot be resold or returned to stock. Before you approve the proof you may cancel, and we refund the deposit less a £95 design charge for work already done. After you approve the proof but before print, you may cancel and the deposit is not refundable. Once print has begun the order cannot be cancelled and the full balance is payable. Quantity increases before print are usually possible — ask and we will confirm. Because these are personalised goods made to your specification, the cancellation rights in the Consumer Contracts Regulations 2013 do not apply.

Delivery

Lead times quoted after proof approval are estimates given in good faith and depend on our print partner; we are not liable for delays outside our control. Delivery is to one UK address unless the quote says otherwise. Risk passes to you on delivery, and title passes when we have been paid in full. We will replace free of charge any copies that arrive damaged, misbound or misprinted against the approved proof, and there are two windows for telling us. Damage visible on arrival must be noted on the carrier's delivery note and reported to us within 3 working days — that is the window the print trade and its carriers work to, and outside it the cost cannot be recovered from anyone. Anything else — misbinding, misprinting against the proof, or a shortfall — tell us within 5 working days of delivery. Please open the cartons and check a sample of copies when they arrive; our own printers give us only a few days to raise a fault with them. In both cases keep the affected copies and their packaging until we confirm: a carrier or printer claim depends on the packaging. On orders of 100 copies or more the printed quantity may vary by up to 5% either way and you are charged for the quantity delivered; below 100 copies you receive at least the quantity you ordered.

Intellectual property

The journal's content, structure, design and typography remain ours; you are buying printed copies, not rights to the work, and may not reproduce, scan, redistribute or create derivative editions of it. Your logo and brand assets remain yours, and you grant us a licence to use them solely to produce and proof your edition — and, only with your written permission, to show your edition as an example of our work. Copies are for distribution to your own staff, clients or guests, and may not be resold.

Digital team licence

Where you buy a digital team licence instead of printed copies, we supply the journal as a PDF edition carrying your company name, and grant your organisation a non-exclusive, non-transferable licence to share it with its own employees and workers, up to the number of people stated on your quote. The people you share it with may print it for their own use and keep their copies, and you may host the file where only they can reach it. You may not publish it, share it outside your organisation, sell it, or remove or alter our imprint, the safety page or the privacy page. The licence does not expire. If the number of people grows past the licensed number, you can move to the next band by paying the difference.

A licence is paid in full, by bank transfer, before we deliver the file. We deliver within two working days of payment and of receiving your company name as it should appear. You may cancel for a full refund before delivery; once the file has been delivered it cannot be returned. If the file is faulty or does not match what we agreed, tell us within 5 working days and we will correct it and send it again. The privacy and liability terms below apply to a licence as they do to a printed order, and for a licence the amount you paid for that order means the licence fee.

Practitioner licence

A practitioner licence is for an organisation whose practitioners work directly with clients. We supply the journal as a PDF edition carrying your organisation's name, and grant a non-exclusive, non-transferable licence for the number of practitioners stated on your quote — up to 3, up to 10, or up to 25, priced at £129, £299 and £499, with larger numbers quoted. Those practitioners may give copies to their own clients, printed or as a file, as part of a service those clients are already receiving from you, may print copies in-house, and may name the journal in your own materials. The licence does not expire, and you can move to a larger band by paying the difference.

You may not sell the file or printed copies as a product in their own right, publish it where anyone can download it, share it with another organisation, or remove or alter our imprint, the safety page or the privacy page. A licence covers the journals named on your quote; journals we publish later are not included unless the quote says so. Payment, delivery, refunds and faults are the same as for a digital team licence above.

The journal is a structured self-monitoring tool. It is not treatment, not a clinical instrument and not a substitute for professional care, and we make no claim that it treats any condition. Whether it is appropriate for a given client is a matter for the practitioner's own professional judgement, and the practitioner remains responsible for the care they provide.

Privacy — what the journal does not do

The journal is filled in by the individual and is not monitored, collected, reported on or shared with you. We receive no data from it and neither do you. Nothing in the product transmits, records or reports anything, and the name plate in every edition says so to the person holding it. We hold your contact details and brand assets only to fulfil your order, in line with our privacy policy.

Liability

Nothing in these terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited. Subject to that, our total liability in connection with an order is limited to the amount you paid for that order, and we are not liable for loss of profit, business or goodwill, or any indirect or consequential loss.

The journal is a self-reflection tool. It is not medical, psychological or occupational-health advice and is not a substitute for professional support; the safety page in every edition says so.

General

If any clause is found unenforceable, the rest stands. We may update these terms, and the version attached to your quote is the one that applies to your order. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
