A Christmas gift tracker that adds up

Budget per person, every gift from idea to given, the card list and the food shop, in Excel, Google Sheets or on paper.

Christmas gift tracker spreadsheet and printable planner: people, budgets and gift planner pages

Every gift, every budget, in one place

List everyone you buy for once, with a budget each. Add gifts as ideas, then move them to ordered, bought, wrapped and given. The spreadsheet shows what you have planned, spent and have left for each person, who still has no gift, and what Christmas has cost so far, including the food shop, the tree and the stamps.

What is inside

  • Start Here: the plan (whole budget, where the money comes from, three rules) and Christmas at a glance, with days to go.
  • People and Gifts: budget per person; gifts from idea to given, with return-by dates flagged a week before.
  • Secret Santa: one row per swap, with its spending limit.
  • Cards: a Christmas card list to keep from year to year, with stamps still needed.
  • Food and Hosting: the food shop for Christmas Eve, Christmas Day and Boxing Day, plus who is coming and what they can't eat.
  • December Check-in and January Verdict: a two-minute Sunday score, and the numbers that make next Christmas cheaper.

Rather write it down?

The same download has an 18-page printable planner in A4 and US Letter: the plan, budgets and key dates, a gift planner for 20 people with bought, wrapped and given boxes, Secret Santa, the card list, the food shop, Christmas Day timings and the verdict.

Questions

Does the Christmas gift tracker work in Google Sheets?

Yes. It is a plain .xlsx file with no macros: open it in Excel, import it into Google Sheets (File, Import, Upload), or open it in Apple Numbers. The printable PDF comes in A4 and US Letter in the same download.

Can I sort gifts by person or status?

Yes. Every list has filter arrows, so you can sort or filter by person, status, shop or date. The totals sit above each list, so sorting never breaks them.

How do I know the totals are right?

Every total is a formula, and a check line on the first tab shows that the per-person totals match the gifts total. Returned gifts are left out, and ideas count as planned, not spent.

Can I use it again next year?

Yes. People and the card list carry over; clear the gifts, food and check-in tabs in January. The January Verdict tells you what to put aside each month from February to pay cash next Christmas.

Is this financial advice?

No. It is an organising tool. If Christmas means borrowing, free and impartial help is at MoneyHelper, Citizens Advice, StepChange and National Debtline.
